Position Overview

Glastonbury Inc. is seeking a highly organized and detail-driven Executive Personal Assistant & Payroll/Tax Administrator. This unique role blends the administrative responsibility of supporting executives with the financial acumen required to manage payroll, tax compliance, production records, and coordination across multiple projects and divisions.

This role acts as the organizational “hub” of the company — connecting creative teams, leadership, vendors, and financial processes. The ideal candidate enjoys problem-solving, thrives on systems and structure, and can confidently manage sensitive information with discretion.


Core Responsibilities

Payroll & Tax Administration

  • Collect, verify, and process timecards for cast and crew across multiple divisions and projects.

  • Manage weekly or bi-weekly payroll using entertainment payroll providers (Media Services, Cast & Crew, Entertainment Partners, etc.).

  • Ensure accuracy and timely submission of federal, state, and local payroll taxes.

  • Maintain employee records and year-end reporting (W-2s, filings through Intuit).

Financial & Budget Support

  • Track labor and production-related payroll expenses and maintain cost sheets per division.

  • Support vendor management: approvals, contracts, payments, and record-keeping.

  • Assist production accountant and CFO/Treasurer with audits and reconciliations.

Executive & Administrative Support

  • Manage executive calendar and communication for CEO and Treasurer/CFO.

  • Coordinate complex travel logistics, schedules, and expense reports.

  • Serve as primary internal and external point of contact.

Production / Workflow Coordination

  • Streamline paperwork and communication between production locations, sets, and office.

  • Assist with vendor scheduling including transportation, meals, and rental needs when applicable.


Key Skills & Qualifications

  • Experience in entertainment payroll or audiovisual production preferred.

  • Strong understanding of freelance/gig-based payroll models and union guidelines.

  • Advanced Excel skills and proficiency in QuickBooks, Intuit, or payroll systems.

  • Exceptional attention to detail and financial accuracy — no “close enough.”

  • Strong communication skills and the ability to address payroll/financial inquiries tactfully.

  • Ability to maintain confidentiality of sensitive financial and personnel information.

  • Excellent time-management and ability to meet deadlines across multiple simultaneous projects.

  • Solutions-oriented, adaptable, and proactive when challenges arise.
